Quotes provide clarity, setting expectations for costs and terms between artists, galleries, and buyers. They ensure transparency, break down expenses like framing or shipping, and avoid misunderstandings.
Additionally, quotes serve as a professional record for insurance, taxes, or future reference, enhancing trust and professionalism in transactions.

Create & delete a Quote
Creating a quote
1. Navigate to Sales > Quotes, and click + New Quote.
2. Choose who the quote is addressed to (selectable from your contacts), select the due date, pick your branding theme to apply, and select the active status of the quote.
Other fields you can customize:
Quote no - This is autogenerated, however, you can input a custom quote no.
Reference - Blank by default, can be used to suit your needs.
Currency - Default is populated depending on what you've selected in Settings > Currencies.
Sales Consultant - Select which user is involved with the quote / sale.
3. Now that you've adjusted your settings, you can click the Add a new line button, to add the following:
Artwork
Shipping Cost (If applicable)
Framing Cost (If applicable)
Custom line
To add an artwork, click Artwork, and search or select from the inventory dropdown menu.
Once added, you have the ability to adjust the tax, quantity, discount, and unit price:
Ticking Reserve artwork, will also automatically change the artwork's status to Reserved.
4. Notes & terms can also be included, at the bottom of the quote.
Note: The default note and terms text, can be automatically applied via the branding themes.
5. Once you are happy with the quote, click Create quote on the bottom left.
Deleting a Quote
1. On the quote you want to delete, click More Options (...), Delete Quote.
2. Alternatively, you can also delete the quote when you have it open, from the menu at the bottom:
Edit a Quote
1. To edit a quote, click More Options (...), Edit Quote.
While in edit mode, you can adjust anything on the quote.
Convert to Invoice
If your quote has been accepted by the client, you can easily convert it to an invoice.
Find your quote, click More Options (...), Create invoice.
Additional Functions
While you have your quote open, you can also:
Print / Download the quote to PDF
Email the quote directly to the client
