You can now create invoices using the app. In order to collect payments via the app, you must have a Stripe account connected to your Art Galleria account. For more information on how to do this, please see Setting up online payments with Stripe.
Creating an invoice
1. Click Sales in the bottom menu.
2. Click + New Invoice.
3. Add a contact to the invoice.
Existing Contact: Select a Contact from the Client field.
New Contact: Click in Client field, then click New Contact in the upper right corner.
4. Select or update the following elements, exactly as you would in the browser version:
Branding Theme
Currency
Sales Consultant
Due Date
5. In the Invoice Items area, click Artwork to add an artwork to the inventory:
6. After selecting an artwork, the Add Item screen will open, where you can:
Edit artwork details
Edit the price
Select the appropriate tax settings
Apply a discount
8. Scroll to the bottom and click Done when ready to add this item.
9. Continue with additional invoice items, if applicable, including shipping, framing, or custom items.
10. When you're ready, click Create Invoice.
11. To send this invoice to the client, you can now open it from the main Sales view.
You can now send the invoice to your client from the app.
Sending an Invoice to a client
There are two ways you can share an invoice from the app with your client:
Scanning the QR code
Sending by email
Scanning the QR code
1. Open the invoice to share from the Sales page.
2. Click Show Payment QR Code.
3. Ask your client to scan the QR code with their own device, then click Open Payment Page.
4. The client will be directed to an online version of the invoice.
This is an online payment page where they can securely pay with Google Pay, Apple Pay, credit card, or other payment methods you have enabled on your Stripe account. Please note, this is only available when you have Stripe connected to your Art Galleria account.
Emailing the invoice
1. Open the invoice to share from the Sales page.
2. Scroll to the bottom of the screen and click Send to Contact.
3. Update the contents of the email as required, then click Email PDF to Contact.
Collecting a Payment
This feature requires that you have your Stripe account connected to Art Galleria. In the browser version go to Settings > Payment Processor to set it up.
Option 1 - Send your client to a payment page
Open an invoice with a payment due.
Click Show Payment QR Code.
Ask your client to scan the QR code.
On their device, this will direct them to an online version of the invoice where they can use Apple Pay, Google Pay or their credit card to pay the invoice.
Option 2 - Process the payment by entering the credit card details yourself
Open an invoice with a payment due.
Click Process Payment.
Enter your client's credit card details, or ask them to do this directly.
Click Process Payment.
Recording a Payment
You can record payments that were made outside of the integrated payment processor, such as bank transfers or cash payments.
Open an invoice with a payment due.
Click Manage Payments.
Click + Add to record a new payment
Fill in all the fields as required, then click Create Payment.
