Using Artist Portals

How to set up artist portals and use them

Artist Portals is a feature which allows your artists and collaborators to upload and submit artworks directly to your gallery. You can review, accept and reject artwork submissions with full workflow support. Accepted artworks are transferred from the submission queue to your inventory.

This article covers how to create portals, receive, and then review submissions. For an article you can share with artists to explain the process, please see Submitting artworks through the Artist Portals.

Create an artist Portal

1. Go to Settings then Artist Portals and click Create New Portal.

2. Fill in a name for the Portal and click Save.

3. Go back to the Artist Portals tab and select Edit Sections.

4. Click Edit on of the sections to setup (Contact Details, Artist Profiles, Artworks).

In Edit Sections, you will have the option to:

  • Configure data fields for each section

  • Configure which fields should be limited or made mandatory

  • Add labels and hints

Request submissions

1. Once the Portal is created, you need to send the portal link out to your represented artists. Optionally, you can request a modified URL for simplicity, for example: www.artgalleria.com/portal/yourname - please contact us for assistance.

2. Artists can register by using their email address and hit Continue.

3. Artists can fill in their contact information, as shown below.

4. Then artists can create their Artist Profiles, then upload and submit Artworks to your gallery.

Review artwork submissions

Gallery staff can review the artwork submissions received via the portal in Inventory > Portals.

To do this, please:

  1. Go to Inventory then Portals.

  2. Click on the [view] link next to the submitter's name to view contact details.

  3. Click on the artwork title to review the submission.

  4. To Approve or Reject on the artwork submission, please click on the More Options menu (...) on each artwork and select the appropriate option.

Legacy Portals

Legacy portals (previous version of the current Artist Portal feature) are now deprecated. You cannot create legacy Portals, however existing ones can still be used.

You can click Invite Artist button to invite an artist. If the artist has one or more collaborators, you can also invite them to the same portal to collaboratively work on the same artwork submissions.

​Email templates
You can also add custom email templates to accept artworks or you can disable email notifications when artworks are accepted or rejected. This can be found under Settings > Artist Portals > Settings & Fees > Email Settings.
