Exporting your data

In PDF, HTML, and CSV format

You can export your data at any time using the tools below. Choose which collections, artists, and fields to include, set your preferred sort order, or export the entire database in full.

This article covers how to export the following:


Exporting your artworks

1. Open the Reports tab and click Custom Report.

2. In the Artwork Fields area, use the Trash icon to delete the current selected fields from the report.

3. Click + Add Field, select from the dropdown Artworks: All Fields and click Add. This will include all system fields and custom fields you have data for in the platform.

4. Select CSV for the report type, and click Generate Report.


Exporting your Artist Profiles

Follow the same steps above, and but simply replace the Artworks: All Fields with Artist: All Fields.

1. Open the Reports tab and click Custom Report.

2. In the Artwork Fields area, use the Trash icon to delete the current selected fields from the report.

3. Click + Add Field, select from the dropdown Artist: All Fields and click Add. This will include all system fields and custom fields you have data for in the platform.

4. Select CSV for the report type, and click Generate Report.


Exporting your Contacts

Navigate to Contacts, scroll to the bottom of the page, and click Export CSV.

Exporting specific contact groups

If you don't want to export your entire contact pool, but rather just a specific group, simply navigate to Contacts > Groups > More Options > Export to CSV.


Exporting your Sales

1. Navigate to Reports > Sales Report.

If you don't see sales report as an option, your user account does not have the required permissions. Please check with the main account holder

2. Select the following

  • Report time period = All Sales.

  • Report Format = CSV

  • Report Type = Full Summary

Ensure the three checkboxes are ticked, and click Generate Report.


Exporting your Images

We offer an image archive export service that allows you to download all your artwork images into a structured Google Drive folder.

Each image will be placed in its own folder, named using the Inventory ID. Inside each folder, you will find all the images associated with that artwork, saved using their original filenames as uploaded to Art Galleria.

We offer a document archive export service that allows you to download all your artwork documents into a structured Google Drive folder.

Each document will be placed in its own folder, named using the Inventory ID. Inside each folder, you will find all the documents associated with that artwork, saved using their original filenames as uploaded to Art Galleria.
