The Shipments feature gives you a clear way to manage incoming, outgoing, and internal artwork movements, while keeping shipment details, tracking information, and artwork locations organised in one place.
Before you get started
Here are a few important things to know about Shipments:
An artwork can only be on one active shipment at a time. Active shipments include Draft, Preparing, and In transit.
Shipment statuses only move forward. Once a shipment is Received or Cancelled, it cannot be reopened.
Changing a shipment status does not always have to change artwork Locations. When marking a shipment In transit or Received, you can choose whether to update the artwork Location and Sublocation.
Cancelling or deleting a shipment does not move artworks back to their previous Location. Any Location changes must be made separately.
Once a shipment is In transit, its route and artwork list are locked. Artworks can no longer be added or removed.

Enabling and creating Shipments
Before you can use Shipments, the feature must be enabled.
Navigate to Settings > Locations > Enable shipments:
Once enabled, Shipments will appear under Inventory:
1. To create a shipment, in Inventory > Shipments, click New Shipment:
2. The New shipment form will open.
Select one of the following movement types:
Incoming - For artworks coming into your inventory
Outgoing - For artworks being sent out of your inventory
Internal transfer - For artworks moving between existing locations or sublocations
3. You can also enter additional information such as:
Shipment title
Dispatch date
Expected arrival date
Carrier
Tracking number
Tracking URL
4. Once you have added all your information, you can either:
Save as draft - Creates a Draft shipment. The route and movement details do not need to be complete yet.
Create shipment - Creates a shipment with a Preparing status. The movement type and required origin or destination details must be completed.
Each shipment is automatically assigned a reference, such as SHP-1000.
Adding artworks to a Shipment
Artworks can be added while a shipment is in Draft or Preparing. There are two ways to add artworks.
(1) Search for artworks
Select Add artworks to search your inventory.
You can add individual artworks or use Add all to select all eligible artworks from your current search.
Select Update to save your selection.
(2) Add by Inventory ID
Select Add artworks by inventory ID to paste a list of Inventory IDs.
IDs can be separated by:
Commas,
Spaces, or
New breaks.
You can add up to 500 unique Inventory IDs at a time.
Before adding them, Art Galleria will show whether each artwork is:
Ready to add
Already on this shipment
Duplicated in your list
Not found
Already on another active shipment
If an ID cannot be found or an artwork is already on another active shipment, no new artworks from that list will be added until the issue is resolved.
An artwork can only be included in one active shipment at a time. Active shipments are those with a status of Draft, Preparing, or In transit.
Archived artworks cannot be added to shipments, but sold artworks can.
Managing Shipment statuses
Shipments move through the following statuses:
Draft
The shipment is still being set up.
You can edit its details, route, and artworks.
A Draft shipment can be moved to Preparing, cancelled, or deleted.
Preparing
The shipment is readying for dispatch.
Details, route, and artworks can still be changed.
A Preparing shipment can be marked In transit or cancelled.
In transit
The shipment has been dispatched.
Once marked In transit:
Movement type and route are locked
Artworks can no longer be added or removed
Title, dates, carrier, and tracking information can still be updated
At least one artwork must be included before a shipment can be marked In transit.
If no dispatch date has been entered, the current date will be added automatically.
Received
The shipment has reached its destination.
The shipment details and artwork list are locked, although notes can still be added.
If no received date has been entered, the current date will be added automatically.
Cancelled
The shipment has been cancelled and its details are locked.
Cancelling a shipment does not change the Location or Sublocation of any artworks included in it.
Shipment statuses move forward and cannot be reopened once Received or Cancelled.
Updating artwork Locations
When marking a shipment In transit or Received, you can choose whether to update the Locations of the artworks included in it.
Depending on the shipment destination, you may see:
Update Location
Update Sublocation
Clear incompatible Sublocation
If the shipment has a saved destination Location, Update Location will be selected by default. If it also has a saved destination Sublocation, Update Sublocation will be selected by default.
You can untick these options if you only want to update the shipment status without changing the artwork Locations.
If the destination is an external address rather than a saved Location, the location update options will not be shown. The shipment status can still be changed, but the artwork Locations will remain unchanged.
Sublocation compatibility
A Sublocation must belong to its selected Location.
If changing an artwork's Location would leave it assigned to an incompatible Sublocation, you will need to:
Update the Sublocation as well
Select Clear incompatible Sublocation
Cancel the change
You can also continue to manually change an artwork's Location or Sublocation outside of Shipments.
Manual Location changes do not update the shipment's route or status and do not create a new shipment.
Shipment permissions, tracking and activity
Additional user access to Shipments can be managed from:
Settings > User Accounts
Permissions determine which shipments a user can view and whether they can:
Create and edit shipments
Change shipment statuses
Add or remove artworks
Delete Draft shipments
Updating artwork Locations through a shipment also requires permission to edit Artworks.
Tracking information
You can save the following information against a shipment:
Carrier
Tracking number
Tracking URL
A saved tracking URL can be opened directly from the shipment.
Notes and activity
Notes can be added to a shipment at any stage, including after it has been Received or Cancelled.
The Activity panel records the history of changes made to the shipment.
