Add Sublocations to existing Locations.

The Sublocations feature allows you to enter multiple, specific locations within an existing Location to fit the unique structure of your space.

You can create a hierarchy of up to 10 levels within each location. Whether it’s buildings, floors, rooms, shelves, or any other criteria that define your environment, you can create a hierarchy that perfectly aligns with your needs.

Before creating a sub-location, please make sure you have set up a Location first (see Setting up Locations for more information).

You can set up a hierarchy of sublocations to fit the unique structure of your collection. You can create a hierarchy that perfectly aligns with your needs, for example:

Location = Address

Sublocation = Stockroom

Sublocation 2 = Shelf

Sublocation 3 = Box

These labels are then used as a template for the Locations section in Art Galleria (Inventory > Locations).

To set up your hierarchy:


1. Go Settings > Locations.


2. Define your hierarchy by editing the existing 10 Sublocation levels. To do this, click the pencil icon next to each level, and enter a name for the level.

3. Click Update Settings when complete.


Add Sublocations to Locations

1. Open Inventory and click Locations. Click the more options (...) icon on an existing location and select Edit.

2. On the Edit Location screen, click the +Add sub-location.

3. In the Sublocation popup window add a name for the sub-location and optional description, then click Save.

4. Your new sublocation will now appear under the location you just edited:

5. If you want to add another level of sublocation below the level you have just created,

you can do this by click +Add sublocation and following the same instructions as above.


6. Repeat the previous step until you have all the items in the example above created.


7. To create the hierarchy, click and drag each item from left to right until they are indented as shown below.

8. Click Update Location to save the changes.


Assign an artwork to a Sublocation

1. Open Inventory and locate the artwork you want to assign this to.

2. Click the more options (...) icon next the artwork, and select Edit.

3. On the Basic Info tab, scroll down to the Location drop-down and select the appropriate Location. A list of sub-locations will appear.

4. Select the sublocation, then click Update Artwork to save your change.
