Labels are vital for galleries, artists, and collectors. They can convey essential information about artworks, such as the artist's name, title, medium, and creation year.
Effective labeling aids in organizing exhibitions, managing inventory, and enhancing the presentation of art pieces, ensuring a professional and informative display.

Modifying an existing label design
Art Galleria comes pre-populated with some basic label designs. You can use this as they are, or copy and modify them into a template for a new custom label.

Generic | A standard label featuring artist name, and various artwork information, as well as a QR code with duplicated information for digital access.

Wall Label | A typical artwork label found in most galleries, featuring basic artist and artwork information, the Inventory ID, and QR code with simple information for digital access.

Stockroom | A larger label design intended for artworks currently in storage, featuring basic artwork and location information, the artwork image and a QR code to retrieve the Inventory ID.

To modify one of the label presets:
1. Navigate to Settings > Label Designer. The "New label" empty grid will appear.
2. Click the name of one of the presets to load.
3. Click Yes when asked "Load this preset in label designer?"
2. Make any changes you want to make to the design, the click:
Save, to overwrite the existing preset.
Save as..., to create a new preset.
Creating a custom label design
You have the option to start from scratch creating your own labels, then save your choices as a custom label preset. This will create a design that you can then select when you're ready to print.
1. Navigate to Settings > Label Designer. The blank "New label" grid will appear.
2. To create a custom label drag and drop fields from the left menu onto the grid wherever you want it to appear.
Saving your design
Once you have added the fields to include, it's important to save your work:
Click Save As...
Enter a name for the label and click Save Preset.
To continuing editing this design:
Click your custom label from the Label Presets list
When the pop-up menu appears, click Yes to load your label.
Once you've made additional changes, click Save to update your design.
To illustrate how to format and edit your label design, we'll create a label with the following data:
Gallery Logo
Gallery Name
Artwork Image
QR Code (including the artist biography,
Data Fields (artist name, artwork title, dimensions, price)
1. Drag the fields required onto the grid.
2. Make sure to use the full width of the label. Labels will be proportionally resized based on the width of the media when printed.
3. Configure each element in the grid by clicking the blue cog icon, and changing the settings to suit your preference, noting how it changes in the grid layout.

4. Once you've made additional changes, click Save to update your design.
Fine-tuning a label design & configuring scannable codes
Congratulations! You can now begin fine-tuning your label by adding or removing fields, resizing them, and changing element-specific settings (see below for more information on the settings available for each field).
Tips for editing and previewing your labels
Test Mode
We recommend enabling Test Mode and clicking Save before configuring labels. This will display bounding boxes around the fields in the print preview, helping ensure they do not conflict or overwrite each other.
Seeing the impact of your changes
To speed up the workflow when testing labels, keep the Artwork Inventory open in another browser tab. This way, you can make and save changes in the grid, then quickly switch to the print preview in the other tab to see the updates.
Select your multiple artworks to print the labels for.
Click Bulk Actions...
Click Print Labels
Choose the custom label preset you created
Including a Barcode
Using barcodes provides quick access to INV ID information, simplifying inventory management and ensuring accurate tracking and organization of artwork within our platform. If you want to include more information, consider using a QR code instead.
To scan barcodes, ensure you have either a dedicated barcode scanner device or a smartphone with a compatible barcode scanning app installed. Note that some smartphones may not have built-in barcode scanning capabilities by default.
For the below example, lets create a label with the following fields: Artist Name, Artwork Title, Dimensions, Artwork Medium, Price and Barcode.
After dragging & dropping elements on the grid, and configuring the fields, the grid looks like this:
Remember to save your presents as you make adjustments, to see the changes reflected in the print preview.
And with Test Mode enabled, in the print preview, the elements are shown as not clashing with each other: | Furthermore, the barcode can be rotated, to fit better with other elements on your label. It is recommended to have the barcode grid element be at least 14 units wide. |
Including a QR Code
If you want to include more information in your scannable element, consider using a QR code instead. A QR code can contain extensive details, which can be easily accessed by scanning it with a smartphone, displaying the information directly on the user's device.
Please note that QR Codes will vary in size depending on the information they contain, so including numerous fields will create a larger QR code.
1. Click and drag QR Code element from the green menu onto the grid area.
2. Open the QR code settings by clicking the cog icon.
4. Based on how you plan to use the QR code and the target audience, choose the data to display when the code is scanned by using the Add Fields drop-down menu.
Using a QR code for other people to scan using a phone or other QR codeYou can add fields to the code to provide people with additional information about the artwork or artist.

3. Adjust the visual settings as required:
Change the horizontal or vertical alignment within the label
Change the scale using the QR size multiplier field (up to a maximum of 3)
Ensure the placeholder is at least 10 units in height (based on default size)

Printing your QR code label

Scanning your QR code
You can use a generic QR code reader to bring up the information entered, or you can use the Art Galleria app to find the listing in your inventory and display the information included in the QR code. If you are using the Art Galleria app, make sure the app has access to your camera.
1. Open your QR code reader or camera, or if you are using the Art Galleria app, select Scan in the navigation bar at the bottom of the screen.
2. Hover your camera over the QR code to read it.
3. The QR reader will display the information associated with that artwork, or if you are using the Art Galleria app, it will locate and open the artwork's listing in your inventory.
Modifying label Padding & Width
If you want to move your label content within its given space, use the label padding functionality, which allows for elements to be pushed closer to the centre, away from the label edge.
See below for an example - which shows a label with multiple elements.
Now, lets add 20mm Left padding, and click Save.
Notice how the contents has shifted considerably to the right of the label, by adding padding to the left edge:
The same can be done to the right of the label, by adding right padding:
And a combination of the two can be used, to increase the overall padding on both sides:
Which causes the label contents to become compressed into the centre of the label, increasing the margins on either side:

Troubleshooting
The Label I'm trying to print isn't big enough for all the data fields I want to include.
Try adjusting the Grid Line Height. This will shrink all elements, and is suited for very small labels.
I've included a QR code, but it doesn't appear on the label when I go to print.
Ensure that the data fields you have included in the QR code are actually filled in on your respective artwork. If the fields are blank on the artwork, the QR code will not appear.
The text for some fields gets cut off when printed.
Try increasing the size of the box for that field in the label designer. Please your cursor just inside the box and an arrow will appear. Click and hold to drag the border of that box out to space for additional text.
Changes I make in the grid aren't reflected in the print preview.
Ensure you are clicking Save > Yes, after making any changes in the label designer.
Try reloading your Label Preset.
My QR codes are different sizes
This happens because the same fields are chosen for each QR code, but not all artworks have the necessary information. Artworks with complete information make larger QR codes, while those missing information result in smaller QR codes.

Q: How do I access the Label Designer?
A: Navigate to Settings > Label Designer.
Q: Can I upload my own images on a label?
A: Yes, you can include an image of the artwork that you are printing a label for. Alternatively, you can also include any picture that you choose via your branding theme.
Q: Can I use custom fonts on the labels?
A: No, custom fonts are not supported on labels at this time.
Q: Can I preview my label before printing?
A: Yes, to preview your label design simply:
Select your artwork(s) in the Artwork Inventory
Click Bulk Actions...
Click Print Labels
Select your label preset and sheet layout
Click Print to preview them
Q: Can I come back to a label design after starting it?
A: Yes, simply save your design as a custom preset, and you can return to it at any time.
Q: What formatting options to I have for each field?
A: For each field type on the label, you can edit the following:
