Importing and exporting contacts using a CSV

How to do a bulk import of contacts, or export your contacts or a portion of your contacts, as a CSV file.

You can do a bulk upload of your contacts to Art Galleria using a CSV file. If you have numerous contacts, this will be faster than entering each contact individually. Art Galleria provides a CSV template to make the process easier (see the steps below for information). In addition, you can export your Art Galleria contacts to use offline.

IMPORTANT: Handling Empty Cells Before Importing CSV Files

Before you import a CSV file into our system, we strongly recommend reviewing your CSV file closely and then:

  • Deleting any empty columns, and

  • Identifying any empty cells.

This step is essential when you already have data in the system, because you might unintentionally overwrite existing data in the system. That happens because the system interprets empty cells in the CSV as an instruction to clear any pre-existing data in the corresponding fields.

Taking this step protects the integrity of your data, ensuring the system imports only the information you intend. Time spent in preparation will enhance the accuracy and completeness of your data within our system, and save you time in the future.

Importing contacts

When you import contacts using a CSV, you can include a huge array of information, from social media accounts to preferred contact methods. You can also indicate a person's particular interest and create contact groups.

1. In Contacts, click the Import CSV.

2. Download the template by clicking the Download Contacts Template.

3. Open the template:

  • Copy your contact data into the appropriate template columns.

  • Any information you put in the Group or Interest columns will create Groups and Interests in your Art Galleria account. (Learn more about Interests and Contact Groups.)

  • Once done save the file as a CSV.

4. Upload your CSV file and click Upload CSV.

5. Click Next Step: Process Import.

6. You will get a successful message if everything went well with the import.

7. Your contacts will now appear in your dashboard.

Exporting contacts

You can export all of your contacts to a single CSV, or export a specific group or interest.

To export all contacts

  • Open Contacts and click Export CSV.

To export contacts with a shared interest

  • Open Contacts and click Interests

  • Click the More Options menu (...) next to the Interest you want to export, and select Export to CSV.

To export contacts in a Group

  • Open Contacts and click Groups

  • Click the More Options menu (...) next to the Group you want to export, and select Export to CSV.


Troubleshooting

I received an error when uploading my CSV

Please confirm the following:

  • You only have one email address in the Email columns.

  • Any custom columns you have, have also been created as custom fields in the platform prior to upload.

  • Your file is in CSV format.

  • If your file contains a large amount of contacts (500+), consider splitting the file into multiple CSV files (100-200) contacts per file.
