How to create and manage consignments.

Art Galleria allows you to manage your consignments all in one place.

  • When sending artworks out to another location a Consignment Out record is used to store this information in the Location field.

  • When receiving artworks, a Consignment In record is used to record this information and the Contact field is used to represent who sent the artworks.

For Artist plans only Consignments Out are available, since the artist account is the source of the inventory.

Create a new consignment

1. Open Consignments and click New Consignment.

2. Fill out the details for your consignment, including:

  • Consignment type (i.e., is it for inventory coming in, or going out?)

  • Send to location

  • Contact for the consignment (you can add from your Contacts)

  • From date (start date)

  • To date (end date)

  • Terms & Conditions

3. To add artworks, click Add Artworks then click the dropdown menu to select artworks. If you want to remove an artwork, click the close (x) button. Repeat this process for adding additional artworks.

4. Click Update Consignment when done.


Print a consignment report

In a consignment row open the more options (...) menu and select Print PDF. The Consignment will now be downloaded to your computer as a PDF that you can print or email.


FAQ

Q: Once I create a consignment, will the locations of the associated artworks be changed automatically?

A: No, the artwork locations will remain the same. Only the status will automatically update to "Consigned." Although you've created a consignment record, the location doesn't change until the artwork is shipped. Once it's at the new location, you can manually update it.

Q: Can consignment permissions be limited for other users on my account?

A: Yes, consignment permissions can be modified in Settings > User Accounts:

Q: Can I adjust settings that auto-apply to consignments?

A: Yes! Navigate to Sales > Settings > Edit Branding Theme. You can adjust the following settings:

  • Title

  • Conditions

  • Terms

  • Show/hide inventory ID

  • Enable signature

Q: How long can I keep artworks on consignment? Is there a min/max duration?

A: You can consign artworks for as long as you like.

Q: How can I ensure the person I'm consigning an artwork to signs my agreement and agrees to my terms?

A: Simply click the 3 dots on a consignment record, and print the PDF, which you can then send via email to your contact for signing.
