Welcome to Art Galleria!
We're very excited to have you on board, and are here to help you upload your artworks and make the most of the system.
The best way to get started with Art Galleria will depend on how you currently manage your artworks inventory:
OPTION 1 | OPTION 2 | OPTION 3 |
OPTION 1
I use another artwork management software or spreadsheets.
Many inventory management tools have an option to export your data to a CSV file. You can then import this into Art Galleria and get a running start setting up your account.
You can use the Art Galleria template as a guide for formatting your data, and then use our column mapping tool during the import process to ensure your data is displayed correctly within the system. See Importing artworks using a CSV for complete instructions.
Data migration services
We also offer comprehensive data migration services from other art management solutions. We can help you to export and import data, images, sales information, contacts, and more. Please contact support team for information on our free and paid import services.
OPTION 2
I use an offline system.
If you're using an offline system that you can export to a spreadsheet (Excel), you can import it using the CSV import feature described above.
Whether you're importing your data or entering it manually, we recommend that you start by doing the following three things, in this order:
Create artist profiles (gallery and collector plans)
Set up your locations
Add artworks
By creating artist profiles and setting up locations prior to uploading artworks, you can immediately assign artworks to the appropriate artist profile and location.
As you will see below, there's more than one way to do these steps. There are links to step-by-step instructions for the different methods.
Step 1: Create artist profiles
You can set up artist profiles one at a time, or create them in bulk by importing them using a CSV.
Step 2: Set up locations
You can use the locations you set up to track your artworks. By default, locations have a three-character Location Code to help you find Inventory items at this location. Set the code yourself, or let the system set it for you.
Step 3: Add artworks to your inventory
You can add artworks individually, or you can bulk upload them using a CSV.
OPTION 3
I am just starting to catalog my inventory
If you're starting to catalog your inventory or collection, you can of course follow the steps above. You can add details directly into the system, or you can download our CSV template and add your information to that first.

Can I undo an artwork or artist import if I made a mistake?
Yes, if you want to re-do an import, it is best to delete the artworks, and start again. (Deleting is better than simply archiving, as deleted artworks have their Inventory ID changed, so the newly imported artworks can take their place).
