How to start inventorying your artwork

If you’ve signed up for Art Galleria but don’t currently have an inventory of your artwork, here are five steps to get you started.

Are you feel overwhelmed looking at years or decades of artwork that you've created, curated, or collected? Creating an inventory of your artwork for the first time can seem like a daunting job, but the features of Art Galleria make it a straightforward and satisfying process.

If you’ve signed up for Art Galleria but don’t currently have an inventory of your artwork, here are five simple steps to get you started.

1. Choose a starting point: oldest or newest first?

Choosing a specific place to start will give you direction and a sense of progress as you work through the process.

Depending on how many years of work you need to catalog, starting with the most recent artworks may be easier, as the details will be fresh in your mind and any relevant documents are more likely to be easily accessible.

2. Capture the essential details about the artwork

Click the Add Artwork button in Inventory to open the Edit Artwork screen, which will guide you to record the:

  • Physical characteristics

  • Description

  • Exhibitions

  • Price

  • Location

And much, much more about an artwork.

Adding more detail now will make it easier to sort, filter, share and report on your inventory later. You can also add custom fields to capture any additional details you require for your art business. See Creating and removing custom Inventory fields for more information.

If you’re a collector or working in a gallery, you can create Artist profiles as you go, and then return to add details about the artists later, or set up artist profiles at the same time.

3. Take and upload photos of the work

High quality photos of your artwork are especially important if you plan to use your Art Galleria account to display artworks on another site, such as a Wordpress website.

Using a digital SLR camera and tripod will likely yield the best results, but new smartphones with high resolution cameras can also work. See the How to photograph your artwork from the Royal Academy of Arts and 9 Common Mistakes when Photographing your Artwork with an iPhone for guidance.

You can upload multiple photos for each artwork, allowing you to highlight details or offer different angles on a three dimensional work. The supported file formats are JPEG, PNG, GIF and TIFF.

4. Upload any relevant documentation

You can store digital copies of any artwork documentation on the Art Galleria artwork record, making it easy to keep track of everything in one place.

There are over 80 supported file formats.

5. Save your work

Save your artwork to secure the details, images and documents you've added.

When you save an artwork, Art Galleria will assign it an inventory ID, using either our default system or a convention you specify. Here's an example of the default format:

Save time with our bulk upload features
