Use the Bulk Upload Images feature to add multiple images or new artworks to your inventory

You can upload multiple artwork images to your inventory at once using the Bulk Upload Images feature. With this feature you can either:

  • Create new artwork records for each image file, or

  • Match the new images to existing artwork records.

Another way to bulk upload artworks is to import them using a CSV file. This method can also simultaneously import detailed information on the artworks, and supports uploading artworks for multiple artists. See Uploading artworks using a CSV for instructions.

Navigate to the Bulk Upload area

1. Open Inventory, then select the Artworks tab.

2. Scroll to the bottom of the page and click Bulk upload images.

3. Next, decide how you want the new images to be assigned. As noted above, you can either:

OPTION 1: Create a new artwork record for each image

1. If all of the images are artwork by the same artist, you can select that artist from the first dropdown field. If not, leave this drop-down blank.

2. Scroll down to the bottom of the page, and click Add files.

3. Select the images on your computer that you want to upload, and then click Start Upload All.

4. When the upload is complete, new artwork records will be created. The artwork title will be the file name, minus the .jpg extension.

5. Return to Inventory to edit each artwork record by adding additional information, assigning it to a location, or attributing it to an artist if you have not already done that.

OPTION 2: Match images to existing artworks using the file name

You can upload images to existing artworks by matching the .jpg file name to one of the artwork fields. That is, the image file name must match some existing information on the artwork in the Art Galleria system.

For example, for an artwork with the title Winter, you could upload images called winter_1.jpg, winter_2.jpg, etc. For this example, you'd select the Title field and underscore as separator when doing the bulk image upload:

Before you upload the images ensure that you:

  1. Identify which Art Galleria field you will use to match the images. It must be the same for all images uploaded at the same time.

  2. Determine how you want to name a series of images for the same artwork (e.g., winter_1.jpg, or winter+1.jpg, etc.)

  3. Rename all files appropriately

1. Scroll down to the bottom of the page, and click Add files.

2. In the section "Optional - match images to existing artworks" select the field you want to use for matching from the dropdown menu Upload images to existing artworks by specifying the matching field.

3. If you are uploading multiple images for the same artwork record choose the filename separator you are using from the Image file name separator dropdown.

4. If you have images that will be added to multiple artworks, select the checkbox Allow same image to be uploaded to multiple artworks

5. Select the image files on your computer that you want to upload, and then click Start Upload All.

6. When the upload is complete, the images will have been added to the artworks you specified with the matching field.
