Processing payments with external POS devices

Workflow for using non-Stripe POS terminals to process payments

Art Galleria integrates directly with Stripe Terminal, allowing you to process in-person card payments and record them in Art Galleria using a compatible Stripe payment device. (For more information, please see Processing payments with Stripe Terminals.)

Using a non-Stripe POS device

If you're using a POS terminal that isn't connected to Art Galleria, you can process the payment using your terminal and then record it manually in Art Galleria.

This allows you to keep your invoices, sales records and payment information up to date, even when payments are processed through a separate provider.

See below for the workflow.


Step 1 - Create an invoice in Art Galleria

Create an invoice for the artwork or items being purchased, including any applicable taxes, discounts or additional charges.

If you've already created an invoice for the sale, open the existing invoice instead.


Step 2 - Process the payment using your POS device

Use your external POS terminal to charge the customer for the amount due.

Follow your payment provider's usual process and confirm that the transaction has been approved before proceeding.


Step 3 - Record the payment in Art Galleria

Once the payment has been successfully processed:

1. Open the relevant invoice in Art Galleria.

2. Click Enter Payment at the bottom:

3. Enter the amount received.

4. Select the appropriate payment method, such as Credit Card or EFTPOS:

5. Add a transaction reference or note, if required.

6. Click Create Payment.

The payment will be recorded against the invoice, updating the outstanding balance.


Step 4 - Confirm the invoice status

Check that the payment has been recorded correctly.

  • Full payment: The invoice should show as paid, with no outstanding balance.

  • Partial payment: The amount received is recorded, and the remaining balance stays outstanding.

You can then provide the customer with their invoice or receipt as needed.

Avoid processing the payment twice

When using an external POS device, Art Galleria is only recording the payment — it is not charging the customer's card.

Make sure you complete the transaction on your POS terminal first, then record the payment in Art Galleria. This ensures your sales records remain accurate without creating a duplicate charge.
