How to organise artworks in Smart Collections, and the difference between Standard and Smart Collections.

Collections will help you better organise your artworks. There are two types of collections:

  • Smart collections allow you to automatically include existing and future artworks based on a criteria you specify. These collections have an icon next to their name (see below)

  • Standard collections are fixed, meaning that you can manually add existing artworks and organise them in a specific order.

Create a Smart Collection

1. In Inventory, select Collections and then click New Smart Collections.

2. In the New Smart Collection screen enter a name, description and any appropriate tags.

3. In the lower part of the screen you can select the criteria to create your collections, such as:

  • Artist

  • Location

  • Artwork status

  • Price range

Artworks that match these criteria will automatically be added to the Collection. Any artworks you add to your inventory in future that also meet these criteria will be added automatically.

4. Click Save Settings when finished.

Custom Artwork status

If you'd like to sort by a custom artwork status, you can do this the following way.

  1. Navigate to Settings > Artwork Status Options.

  2. Scroll down and locate the <not in use> statuses. Click the edit icon on one of them, enter your custom status name, description, and color, and click Update.

3. Return to Inventory > Collections, and your new custom status will be available as a sortable option in the Artwork satus options section.

Edit a Smart Collection

1. Click Inventory, then Collections.

2. Next to the Collection you want to edit, open the more options (...) menu then select Edit.

3. Add, remove or update the criteria for the Smart Collection to automatically group Artworks.

4. Click Save Settings when complete.
