PDF catalogs are essential for artists, collectors, and galleries. They allow artists to professionally showcase and promote their work, aiding recognition and brand building.
For collectors, PDF catalogs help manage collections by organizing records of acquisitions, which are crucial for insurance and valuation. Additionally, they enable easy sharing and networking within the art community.
For art galleries, PDF catalogs are invaluable for documenting and promoting exhibitions, presenting artworks to potential buyers, and maintaining a professional image. They streamline communication with clients and provide a comprehensive way to display and market their inventory.
How artworks are ordered in the catalog
When you create a Standard Collection or Exhibition, you can manually select an order for the artworks, and this will be reflected in the catalog. Otherwise, you can order artworks by criteria such as artwork name, artist name, artwork year, etc. For instructions on manually ordering Collection or Exhibition artworks, please see Setting the artwork order in a Standard Collection or Exhibition.

Generate a PDF catalog
1. There are two ways you can start creating a PDF catalog of artworks:
Open the more options (...) menu for an Artist Profile, Collection, Exhibition or Location, and select Create Catalog.
Open Reports, and click Catalog (PDF).
2. The Create Catalog window will open.
If you started from Reports, select the artist, collection, exhibition or location for which to create the catalog.
If you started from the more options (...) menu, the artist, collection, exhibition or location will already be selected.
3. Use the Order Artworks By drop-down menu to select how to order the artworks within the catalog. You can select:
Artist last name
Artist first name
Artwork Order (Collection/Exhibitions only)
Title
Artwork year
Inventory ID
Retail price
Location Name
Note: Artwork Order is only available when you are creating a catalog for a Standard Collection or Exhibition, and will reflect how you have manually ordered the artworks in that collection or exhibition.
4. Review the rest of the catalog settings, including:
Artwork fields - You can add new fields, or re-order the existing ones using the three line icon
Number of artworks per page
Page layout (portrait or landscape)
Branding and page formatting
5. Once complete, click Save Preset. This will save these settings for use again in the future.
6. Enter a name and click Save Preset.
7. The Saved Preset will now display at the top to use again.
8. Click Generate PDF Catalog and a PDF will be downloaded to your device.
9. You can now view and print the PDF Catalog of your artwork.

Reports over 200 pages
When you create a report that has more than 200 pages, these will be queued then available in Reports > Reports Library when ready. For example this report in the screenshot below took 20 seconds to produce.
